AI in business: choose your solution and prepare for deployment

1. Start with a specific business need
Preparing meeting notes, finding a procedure, analysing a spreadsheet or drafting a document: artificial intelligence can support many everyday tasks. Its value depends on the quality of available information, its integration into work and the verification of results.
Before choosing a tool, identify the task, its owner, the data it requires and the expected outcome. A need such as “find the approved procedure and cite its version” is easier to test than a broad ambition to introduce AI everywhere.
2. ChatGPT, Claude and Copilot: which uses should you explore?
These solutions have overlapping capabilities. This overview suggests uses to explore rather than a universal ranking. Features, integrations and controls depend on the plan and configuration.

Compare solutions using the same business examples and criteria: accuracy, sources, review effort, integration and cost. A convincing demonstration alone does not validate your intended use.
3. Microsoft 365, Copilot Studio and Azure: three approaches
Microsoft 365 Copilot supports employees working in Microsoft 365. Deployment involves licensing, access, information readiness and adoption. It is not installed as an application in your Azure subscription.
Copilot Studio lets you build agents for business needs, connecting them to knowledge, tools and workflows. An agent might help an employee find a procedure or guide an internal request. Permitted connectors and actions must be defined.
Microsoft Foundry in Azure supports custom AI applications and agents: model selection, integration, evaluation and operations. This approach requires more architecture and development work. It is not a prerequisite for starting with Microsoft 365 Copilot.
These approaches can complement one another. Your need determines the choice: general assistance, a business agent or a custom application.
4. Prepare data and responsibilities
Identify reliable sources, approved documents, outdated versions and the people authorised to access each type of information. Existing permissions remain central to Microsoft 365 Copilot: information shared too widely may become easier to discover.
For each solution, examine the terms that apply to your plan: possible use of data for training, retention, processing location, administrative access, connectors and deletion options. A business plan still requires configuration checks and a review of connected external services.
Assign an owner and define what requires human approval. An assistant that suggests a response and an agent that changes a record or sends a message have different scopes of action.
5. Run a pilot and measure results
Start with a representative group and two or three clearly defined tasks. Record a baseline before the pilot so that you can compare results.
- Quality: correct answers, relevant sources and detected errors.
- Time: savings after review and correction, not just generation speed.
- Adoption: actual usage, difficulties and employee feedback.
- Total cost: licences, consumption, data preparation, integration, training and maintenance.
Also test missing documents, conflicting versions and insufficient permissions. Define when to proceed, improve or stop. Expand only when results are reliable enough for the intended use.
6. Example: an assistant for internal procedures
An SME wants to help employees find the right quality or IT procedure. The pilot uses a limited set of approved documents and provides answers with links to their sources.
The assistant respects user permissions and indicates when information is missing. Testing checks that it cites the correct version, recognises archived documents and directs users to the relevant owner when necessary.
Document retrieval supplies relevant information to the model when a request is made; it does not necessarily require training a new model.
In a regulated environment, generated answers remain identifiable as assistance. Verification, validation and traceability arrangements are defined according to the intended use and its consequences.
7. Project scoping checklist
- A business need, an owner and pilot users are identified.
- Relevant data and access permissions have been reviewed.
- Plans are compared using representative examples.
- Data handling terms and costs have been assessed.
- Sensitive answers and actions have appropriate controls.
- Users know how to verify a result and report an error.
- Success criteria and an end-of-pilot decision are planned.
